How To Send An Email Into Notion And Automate The Process

Master sending emails from Notion and automating tasks, streamlining your workflow for enhanced productivity and organization.

How To Send An Email Into Notion And Automate The Process
Emails pile up quickly, making managing and retaining important information difficult. One minute, you are at inbox zero; the next, you have hundreds of unread emails—many of which you will never read. Even if you read them, you will quickly forget their contents. These emails, however, often contain vital information that you need to reference later, and without a proper system, you can lose track of this information for good. Notion can help you save and manage emails so you don’t lose track of these crucial details. This article will explore how to save and manage emails using Notion.
One of Notion’s key features is the ability to customize how you save and organize emails, allowing you to structure the information in a way that suits your workflow. Feather’s send emails from Notion tool further enhances this process by enabling you to send emails from the Notion newsletter, helping you stay focused on your task without getting sidetracked by your inbox.

Understanding Notion Email Integration

Email into Notion
Email into Notion
Email to Notion integration connects your email inbox with your Notion workspace, enabling you to transfer:
  • Information
  • Tasks
  • Communications between the two platforms
This integration merges your email and project management or note-taking processes, making managing your work and staying organized easier.

How It Works

Email-to-Notion integration involves linking your email account to Notion through a direct connection or third-party tools. Once connected, you can send emails or specific content from your inbox directly to Notion. This could include converting emails into tasks, notes, or project briefs within your Notion workspace.

Seamless Workflow

For example, you might receive an important email containing key project details. Instead of copying and pasting the content manually, you can use the integration to send the email directly to a specific Notion page. From there, you can:
  • Assign tasks
  • Add deadlines
  • Collaborate with your team

Why Integrate Email With Notion and Have Your Emails Sent to Notion?

Streamline Task Management with Notion and Email Integration

Notion's email integration helps you manage tasks efficiently by consolidating information. Instead of sorting through email after email for tasks, emails can be converted directly into tasks in Notion, allowing you to keep track of everything in one place.
Without jumping between platforms, you can prioritize, assign, set deadlines, and track task progress from emails. With Notion’s email integration, you won’t lose track of critical tasks from emails—everything is organized within your existing task management structure in Notion.

Improve Team Collaboration and Communication

When your email is integrated with Notion, team collaboration becomes much smoother. You can share essential emails directly in:
  • Relevant Notion workspaces
  • Tag team members
  • Discuss tasks and projects in context
This improves communication and ensures that everyone is on the same page, with all the information easily accessible. It eliminates the need to forward emails back and forth or copy-paste information using different tools.

Track Important Emails and Tasks with Notion

One of the biggest challenges with email is keeping track of what needs follow-up. By integrating email with Notion, you can easily tag emails that require follow-up and set reminders directly within your workspace. This makes it much easier to stay on top of important communications and ensures that nothing slips through the cracks.
You can even create workflows that automatically link related tasks, projects, and emails, making it simple to track progress and see how everything connects.

Create Your Make Account

Start by signing up for an account on Make.com. The free plan offers enough features for basic email-to-notion automation.

Add a New Scenario

After logging in, click create a new scenario to set up your automation. A scenario in Make is a series of automated actions that run when triggered.

Add a Mailhook as Your First Module

In the scenario builder, click the large purple "+" button to add a module. Type "Webhook" into the search bar, select the Webhooks option and then choose "Custom Mailhook" under Triggers.
After selecting the mailhook, you'll be prompted to add a new one. Name your mailhook, and Make will generate a unique email address. Copy this email address—the automation will capture any email forwarded to this address.

Add a Notion Module to Your Automation

Next, click the half-circle next to the mailhook module to add another module. Search for "Notion" and select "Create a database item" as the action.

Map Relevant Information To Add Emails to Notion

If this is your first time using Make with Notion, you must connect your Notion account. Follow the prompts to authorize Make to access your Notion workspace, ensuring it has access to the specific database where you want to store your emails.
Once connected, search for your Notion database and select it. Then, map the information from your email (such as the subject, sender, and email body) to the corresponding properties in your Notion database. For example, you might map the email subject to a "Subject" property, the sender to a "Sender" property, and the body of the email to an "Email" property.

Finalizing

After setting everything up, your automation is ready. Any email forwarded to the unique mailhook address will automatically be added to your Notion database with your mapped properties. This simple automation saves you time by directly organizing emails into your Notion workspace, helping you manage your communications and projects more efficiently.

Set Up Your Make Scenario to Get a Mailhook Address

Create a scenario in Make to forward emails to Notion. After you create your scenario, it’s time to get your mailhook address.
  • Open your scenario and add the Mailhook module.
  • Click on the Mailhook module and select the Settings tab.
  • You can customize how the information from your emails will be organized in Notion.
  • Once you’ve done that, open the Mailhook tab and copy the mailhook address.

Create a Forwarding Address in Gmail

  • Open your Make scenario that you just built and copy the mailhook address.
  • Right-click on the webhook module and click on Run this module only.
  • Log into your account and navigate to settings.
  • In Settings, head over to Forwarding and POP/IMAP and click Add a forwarding address.
  • In the popup, enter the mailhook address from your scenario.
  • Confirm that you want to forward to this email address.

Verify the Forwarding Address

Google will tell you that they sent a test email for you to verify ownership of this email. To do so, head on over to your Make scenario. It should have received some information in the webhook, as indicated by the little bubble with a one above the webhook module.

Email Confirmation and Filter Setup

  • Click on it to expand the details.
  • Under Output, expand the Text option. You’ll see the content of the email that Google sent.
  • Look for the confirmation code and copy it.
  • Navigate back to your Google account and paste the confirmation code. You can now use a filter to forward emails to your mailhook automatically.

Create a Filter To Forward Specific Emails to Notion

  • Click the filter icon next to the search bar.
  • Set up your condition, like searching for specific keywords.
  • Instead of clicking on search, click on Create Filter.
  • Check the Forward it option and select the mail hook address you created from the drop-down.

Turn On Your Make Scenario

Gmail will automatically forward all emails matching your criteria to your scenario, and the scenario will add them to Notion. Just don’t forget to turn on your Make Scenario by clicking on the scheduling button at the bottom of the scenario.

Why Send Emails Into Notion?

Email into Notion
Email into Notion
Notion doesn’t send emails. Yet, it does help you manage the entire process of creating content for your newsletters before you push them to your email platform (like Mailchimp, ConvertKit, etc.).
You can draft and finalize your newsletter content in Notion, then copy it into your email service provider for sending. Notion also lets you keep track of past newsletters and their performance by linking back to your workspace, where you store your analytics.

How Notion Helps You Stay Organized While Planning Your Newsletter

With Notion, you can plan, draft, and organize your newsletter content in one place. Create a dedicated workspace where you:
  • Outline each issue
  • Brainstorm ideas
This ensures that all your content is ready and organized when you send out your newsletter. It also helps maintain a consistent voice and style, as you can easily refer to previous editions.

Turn Your Emails into Actionable Tasks in Notion

Imagine you’re working on a project, and you receive an important email from a client with a list of tasks that need to be completed. Instead of leaving that email to get lost in your inbox, you can forward it directly to your Notion workspace. From there, you can easily:
  • Break down the tasks
  • Assign them to team members.
  • Set deadlines
  • Track progress
This way, nothing slips through the cracks, and you keep your projects moving forward efficiently.

Organizing Client Communications with Notion

If you manage multiple clients, keeping track of all communications can be a nightmare. Email integration lets you create a dedicated Notion page or database for each client. Whenever you get an email from a client, you forward it to their respective page in Notion. Now, all your notes, tasks, and emails related to a client are organized in one spot, making it easy to stay on top of client needs and respond quickly.

Build a Knowledge Base From Emails in Notion

Think about all the valuable information that comes through your inbox:
  • Tips
  • Insights
  • Detailed instructions
Instead of digging through old emails to find that one piece of information, you can forward those emails to Notion and store them in a knowledge base. Over time, you’ll have a well-organized repository of helpful information you and your team can reference anytime.

Streamlining Team Collaboration With Notion

Communication can get messy when working in a team, mainly when vital details are scattered across various emails. Everyone stays on the same page by forwarding relevant emails to a shared Notion workspace. You can:
  • Discuss them in context
  • Make decisions collaboratively
It’s a great way to align your team and reduce back-and-forth emails.

Simplifying Meeting Prep and Follow-Up With Notion

Preparing for meetings often involves gathering information from multiple emails. Instead of copying and pasting content, you can forward all relevant emails to a Notion page dedicated to the meeting. This allows you to organize the following:
  • Agenda
  • Review past conversations
  • Jot down notes during the meeting.
  • Track follow-up tasks directly in Notion

Tracking Important Conversations in Notion

Some emails are too important to be forgotten—like those related to:
  • Legal agreements
  • Financial decisions
  • Critical project updates
By forwarding these emails to Notion, you can link them to specific projects or categories, making it easier to retrieve them when needed. Plus, you can add your notes or context to these emails in Notion, helping you remember why they were important in the first place.

Create a Personal Productivity Dashboard with Notion

If you like to keep everything in one place, integrating your emails with Notion can help you build a personal productivity dashboard. Forward essential emails set them as tasks, and track your progress all within Notion. This way, your inbox doesn’t dictate your day—you do.
